How We Vet Carriers for Insurance, Monitoring, and Compliance

What We Check: Insurance, MVR, FMCSA & More

There’s no shortcut to a truly vetted carrier. Brokers might talk a big game about safety and compliance, but the reality is, most brokers are running with minimal checks or none at all. AHX was built to end the “just trust us” era in vehicle logistics.

Every carrier on Auto Hauler Exchange is screened for:

  • Active Motor Carrier Authority: We run FMCSA checks to confirm active authority, valid DOT and MC numbers, and spotless safety records.
  • Comprehensive Insurance: Before a carrier moves a single vehicle, we require a current Certificate of Insurance (COI) that meets strict requirements, typically at least $100,000 cargo and $1,000,000 liability coverage. We verify policies directly with insurers. If a policy lapses, that carrier is immediately removed from the platform.
  • MVR & Safety Scores: We don’t just look at paperwork. Carrier safety scores, out-of-service percentages, and crash history are all part of the screening.
  • Documentation & Identity: W-9s, active company info, and background verification on all principals.

With AHX, you see who’s moving your vehicles with full contact info available for every shipment.

Continuous Monitoring & Incident Handling

Carrier vetting isn’t a one-time box-check. The Exchange monitors every carrier 24/7:

  • Live Insurance Tracking: Our system syncs with carrier insurers in real-time. If a policy expires, that carrier is automatically suspended until resolved.
  • FMCSA & Safety Alerts: We get notified immediately of any new violations or rating changes. And carriers with poor safety performance are removed from the platform.
  • Claims Response: If an incident happens, our in-house team manages claims start to finish. We coordinate with the carrier, insurer, and your team for a fast, transparent outcome.
  • No Brokers Allowed: AHX doesn’t let brokers sneak in on the Exchange. We can see if anyone has an active brokerage authority. Every transporter is a verified carrier.

Dealers no longer have to waste time chasing down W-9s, insurance docs, or wondering who actually picked up the vehicle.

Payment & Claims Flow: How AHX Pays Carriers

Forget the “cut a check to the driver” routine. AHX streamlines payments and claims to cut risk and reduce admin drag:

  • Direct Carrier Payment: You pay AHX; we pay the carrier. No side deals, no missing paperwork, no surprises.
  • Consolidated Billing: Dealers get a single invoice with all shipment details. No vendor set-up headaches for every new carrier.
  • Claims Handling: If there’s a claim, AHX manages the process with the carrier and their insurer keeping your finance and ops teams out of the back-and-forth.

Result: less risk, cleaner books, and a frictionless payment process.

Audit & Reporting for Procurement Teams

Need to document your compliance process for an audit or internal review? AHX gives procurement and legal teams the detail they need:

  • Full Audit Trail: Records of carrier’s insurance can be provided to the customer.
  • Reporting Tools: Searchable shipment records, carrier data, and claims outcomes.
  • Compliance Support: Our team provides documentation for any internal or external compliance audit at no extra charge.

Why It Matters

Dealers using AHX aren’t guessing on compliance or scrambling for paperwork. They’re posting vehicles, tracking shipments, and sleeping at night knowing every transporter has already cleared the highest bar. That’s what happens when you eliminate brokers and build a network on trust, transparency, and continuous monitoring.
